TECH TIP - Get more out of HY Cloud

Our HY Cloud portal provides some snazzy functions, some of which aren't so obvious. Here are some feature points and quick instructions.


What is the HY Cloud again?

It's the web portal found at https://cloud.hoffmanyork.com and provides a web interface to our in-office servers, such as TheServer. This is also known as the "S" or "R" drive, if you're a PC user. Mac users have the Triofox software client.

BEST PRACTICES / TIPS:

  1. DON'T try and do large file or folder reorganization using the web portal, triofox, or "R" drive. These tasks should only be done using the "S" drive while in the office.


  2. Uploading/Saving files in the "R" drive or Triofox, doesn't happen in real time. System software works in the background to sync your file changes to the server. This can create a delay between when a file appears saved and when another team member can see those changes. Be patient and keep your computer powered on for a bit, to be sure files sync completely.


  3. 'Force Refresh' is your friend (PC users). If you don't see file/folder changes in the "R" drive, use the force refresh menu option to update your system cache. To do so, right-click in the folder you wish refresh, select Force Refresh.

  1. It's best not to work on large files (>300Mb) directly in the "R" drive (PC Users).

    If you can, copy these files to your computer (desktop or documents folders) and make your changes there. Then copy completed files back to the proper server location. The synching mechanism can get bogged down with large saving/synching tasks and could cause file corruption.


    While working on PowerPoints, if you see a "This file needs to be repaired", it's likely the file is very large and not synching completely before someone else tries to also make changes.


    Splitting up large PowerPoints into sections or adding large media assets (videos) at the last stage, can make collaboration more efficient.
