TECH TIP - Sharing Files/Folders with HY Cloud
The HY Cloud system provides some different methods for sharing files and folders.
Here is a brief explanation about their uses and differences.
To create a shared file or folder, you can either right-click on a file/folder or use the menu in the upper right. 3 options are available to you.
Share – This is the most formal process of the 3. It provides the most control around sharing.
Usage: To share with anyone, internal or external. Download Detailed Instructions
- Send a formatted email to multiple recipients or just get a link to email independently.
- This option requires the recipient to login with a password.
- Options to view only, download only, or edit/upload.
- Notification options.
- Link expiration default is 7 days but can be changed. (maximum 180 days).
NOTE: You can’t use your own email address to create this share. If you don’t intend to email/invite someone directly in this process and just use the ‘Get Link’ button or use the email noreply@hoffmanyork.com to successfully complete the link generation process.
Public Link – The quickest but with minimal options.
Usage: To share with anyone, internal or external.
- You are provided only a link that you must be email independently.
- View and download options only.
- Link expiration default is 90 days.
- No notifications.
Copy Direct URL – This link takes a person to an exact location on the TheServer.
Usage: For company employees only. A HY Cloud account is required to login and view the URL.
- When selected, you are not presented with any information, but the URL is copied to your computer clipboard. You can then paste into an email.
- The link path is also the file/folder path on the actual server.
HOW CAN I CHANGE THE EXPIRATION DATE ON A SHARE?
Using the Share method:
When presented with Share options, you can click the calendar icon and select an expiration date.
Using the Public Link method:
When presented with the link information, select the gear icon to the right. Then click the calendar icon to change the expiration date.
