Teams Room How-Tos & FAQs (Conf Room 1)

This Teams room is configured to fully support your Teams meetings, by providing a dedicated Teams management system. Your computer is no longer needed to join a Teams meeting. The conference room system joins meetings like a regular attendee but provides a professional camera and control system.

GENERAL TEAMS ROOM USAGE:

  1. Remove the lens cap from the camera (gently). Replace when your meeting is over (again, gently).
  2. Turn on the TV using the Samsung remote (if needed).
  3. Teams meetings work best when @Conf Room 1 is included with scheduled meetings.
  4. The volume for non-Teams meetings is found under the 'More' menu on the control panel.
  5. If sharing your computer screen, do this by attending the meeting on your own computer. Share from there. DO NOT use the HDMI cable.
  6. The single mic pod is sufficient for small meetings. If you expect to use the whole table, add the additional mic pod. It plugs into the 1st mic pod.

*The “Teams” room attends all calls or meetings as “@Conf Room 1 (HY)”.



HOW DO I...?


How do I schedule the Teams room?

The Teams room is "@Conf Room 1 (HY)" in our Outlook calendar system. You can include it as a location or attendee. On the day of the meeting, your meeting will appear on the screen and control panel with your name as the organizer.


How do I join a meeting I organized?

Find your meeting on the control panel and select Join. The room will join the meeting as an attendee named “@Conf Room 1 (HY)”. You will also need to join the meeting from your own computer if you wish to share content.


I didn’t organize the meeting; how do I join the meeting from the Teams room?

If you have the Teams meeting info (Meeting ID and Passcode), you can join by:

  1. On the control panel, select 'More'.
  2. Select Join with Meeting ID.
  3. Enter the meeting info and join.

*You will join the meeting as @Conf Room 1 (HY).


How do I start an impromptu meeting or call?

  1. On the control panel, select Meet.
  2. Type in names or phone numbers to invite attendees to your meeting.

How do I share my computer screen during a Teams meeting?

Join the meeting from your computer and share your screen from within Teams. No cords required. This applies to all attendees of the meeting.


How do I just make an old-fashioned phone call?

Traditional Phone calls are no longer supported. Only Teams to Teams calling is available.


I have a vendor or client visiting the office who has a presentation to show. How can I include remote attendees?


You have 2 options:

  1. Create a Teams meeting that the vendor/client can attend along with the remote attendees.
  2. An in-person attendee needs to create a side meeting/call with the remote attendee and use the mobile web cam connected to their computer.

Can I use conference room 1 the old way without any Teams stuff?

Yes. Just have a seat and hookup your computer with the HDMI cable, like you’ve been doing forever.

FAQs


My meeting on the control panel doesn’t have a “Join” button?

The meeting was created without Teams meeting information included. Be sure to make your meetings, "Teams" meetings.


Can I join a meeting the client organized?

Yes. Use the Join with meeting ID method on the control panel.


A meeting I already scheduled did not include Teams Meeting information. How I can make this meeting a Teams meeting?

Edit the original meeting to include the Teams Meeting component. Then 'Send Update' to all of the attendees.


Can someone call the conference room, by Teams or Phone?

No. The room can only make outbound calls.


Does the room work with Zoom, WebEx or Bluejeans meetings?
